An update on MCC's current Civitas tools and how they are used

A core leadership team comprised of William Dixon (Institutional Research), Gary Johnson (Schools), John Kulak (Schools), and Ryan Messenger (Student Services) will continue to maximize our use of Civitas data analytic tools to help support student persistence, integrating Civitas predictive analytics information with existing retention tools, such as Starfish. They will also help inform the work of the Civitas Nudge Team. Nudges are short, positive emails with a call to action designed to encourage behaviors associated with increased persistence. Over the past few years, nudges have helped develop personal connections with students, and individual initiatives have demonstrably increased student persistence.

A brief summary of MCC's current Civitas tools and how they are used:

Schedule Planner helps students plan their classes around their personal preferences and obligations. Students enter the times that they are available and the courses they want to take, and Schedule Planner generates a list of every possible schedule.

Students can access Schedule Planner in myMCC. Instructions are on the Registration and Records page: https://www.monroecc.edu/registration-records/registration-options/schedule-planner/

Illume Student is a powerful tool for gaining insights on factors correlated with student persistence, allowing for quick action to encourage student participation in activities that make a difference. It is the primary tool used by the Civitas Nudge Team to identify student groups and send nudges.

At the beginning of the semester Illume Student creates a persistence prediction probability (0-100%) for each currently matriculated student. The persistence scores are based on a statistical model that considers hundreds of factors and over 10 years of MCC student data. Scores are updated daily during the term.

A dashboard provides easy access to student persistence prediction data, allowing staff to filter for populations of students (e.g., based on pathway, first generation status, financial aid award) and view factors that are most influential to that group's persistence (e.g., LMS activity relative to peers). This also allows the Civitas Nudge Team to quickly identify groups of students and send targeted nudges.

Illume Student may be beneficial to anyone working with a caseload of matriculated students where persistence is an area of focus. Visit the Civitas M-Drive folder for more information about Illume Student (M-Drive/Offices/Shared/Civitas), or contact Ryan Messenger (rmessenger@monroecc.edu).

Illume Impact is a tool that helps Institutional Research (IR) rapidly evaluate the impact of initiatives on persistence. It is a quasi-experimental design that applies prediction-based propensity score matching (PPSM) to match students who participated in an initiative with similar students who did not participate. Trends is a new dashboard for comparative enrollment, persistence, course success, and completion data trends. It allows for quick filtering of student groups. For example, it can be used to show weekly program enrollment fall 2020 vs. fall 2019, or a comparison of course success rates based on school or academic standing (filtered population vs. overall population).
