Wrapping "IT" up for the Holidays


VOICEMAIL:

Remember to use your alternate voicemail greeting. To do this you will need to record an alternate greeting and then turn it on. 

New Cisco Unity Connection Voicemail System

If you are on the new Cisco Unity Connection Voicemail System, you can use an alternate greeting to notify callers you will not be in the office.  You can also specify an alternate number for people to call if their request is urgent. Best of all, you can have the greeting automatically turn off when you return to work!  Here are the required steps to use your alternate greeting:

1 - Use the voice command “Record Alternate Greeting” then…

2 - Use the command “Turn On Alternate Greeting Until January 2nd.” (Can be any date you  choose.)

3 - If you prefer, you don’t need to specify a date to automatically turn it off.  In this case, you would use the voice command “Turn Off Alternate Greeting” when you return.

Old Telephone Voicemail System

Record an “out of office” greeting advising callers that the College is closed and the time that your office will reopen.   This will block callers from leaving a voicemail message.

Instructions for recording an “out of office” greeting:
1 - Access your mailbox
2 - Press 4 for Greeting
3 - Press 7 to record an “out of office” greeting
4 - When you return, access your mailbox and the system will prompt you to turn your “out of office” greeting off.  Your regular greeting will begin to play.

PC and MONITOR:
Turn off your PC and monitor and remove disks/CDs/DVDs/USB drives.

OUTLOOK/EMAIL:
Please set the “Out of Office” Assistant if you will be out for an extended period of time over the holidays.  Try your best to clean your email box of non-essential mail. 

PRINTERS/COPIERS/FAX MACHINES:
Please turn printers/copiers and fax machines off.

Mobile Devices:
Mobile device owners should plan to take their mobile devices home.  Remember to also take home any power adapter needed for the device.

LEARNING CENTERS and CLASSROOMS:
Learning Centers will be closed from 12/24/2012 to 1/1/2013.

Don’t forget you can call the Technology Support Center (Help Desk) option 3 with any questions through December 24 and starting again on January 2, 2013.  The Tech Support Center will be closed 12/25/2012 - 1/1/2013.
