Reserving Building 1 Conference Rooms


The conference rooms in building 1, 3rd floor are available on Outlook. You can view the availability of these rooms and request their use when you schedule a meeting in Outlook.  This feature is also available through Outlook Web Access, more details below.

Names of conference rooms:
Conference, Bldg 1 3rd Floor
Conference, Board Lounge
Conference, Board Room
 
To request the use of one of these rooms:
Start in the meeting request form. Click on the "To" button and select the conference room name from the list along with the names of those attending the meeting. Complete all information in the meeting request such as date, time and subject. Also include the name, department, and phone extension of the requestor in the detail portion of the meeting request. A notice will be sent to the person who controls the room and you will be sent an approval or denial of your request.

 
 
You can view the calendar for these rooms in either of two ways:
From your Outlook Calendar, click on "File", "Open", "Other User's Folder". 
Click on the "Name" button and select the conference room name from the list. 
Click "OK" in the "Open Other User's Folder" window. You will then view the calendar for the conference room.

2.      Using the meeting request form (click on Actions, New Meeting Request), click on the "To" button and select the conference room name from the list, then click the “Required” button, OK.  Now click the "Scheduling" tab to view the calendar for the room.

 
For Web Access users:  Open a calendar appointment window, select ‘Invite Attendees’ button on the toolbar.  Click the ‘Required’ button to select attendees and conference room.  Click the ‘Availability’ tab to view the calendar for the room and attendees.

 
If your meeting is cancelled, please notify the person who controls the room by sending a note using the conference room name in the "To" field.
