Happy Census Day! 

For Registrars (and probably IR staff), the census date is more exciting than Valentine’s Day or birthdays.  Today is the magical date where you must determine how to enter your attendance for traditional length classes.  We sent an e-mail this morning giving you the general instructions as to how to complete your attendance rosters.

Here is the “Reader’s Digest” version of the attendance directions:

Q:        Why do we need to do this?  I hate doing this!
A:        Yes, I know and feel your pain.  But we need to know which students have attended long enough to (a) be counted in our enrollment based funding calculations; and (b) earn their financial aid.

Q:        Can’t I just enter my attendance at the end of the first week of classes and be done with it?
A:        No.  The magic of census only happens after the third week of a full term course.  We don’t care who attended during week #1, but we really care who attended after week #3.  (OK, maybe someone cares.  Just not me.)

Q:        What do I have to do?
A:        Enter attendance for all students on your roster.
(a)    Students who attend on or after census should be given a 1 in the ‘Attend Hours’ field.
(b)   Students who never attended should be given a 0 in the ‘Attend Hours’ field.
(c)    Students who attended, but stopped coming to class before census should be issued a last attend date in the ‘Attend Date field.  (Format = MMDDYYYY)  No 1 or 0 code is needed for these students.

Q:        How do I know if I entered the data correctly?
A:        At a minimum, please check your work.  After you hit SUBMIT, go back into the system and be sure the data has been saved.  If the cells are blank, re-read the instructions and do it again.  The most common errors are forgetting to use a 4 digit year or entering the 1 or 0 codes in the wrong field.

Attendance for courses with a census date of 2/11/13 (TODAY!!) or earlier should be entered in Banner by Thursday, February 14th.  Courses with a census date after today (typically late start courses) will need to complete the attendance process by Thursday, April 25th.  A reminder memo will be sent to you.
