Tech Tip: File Storage Best Practices

Saving files only to the desktop or in the folders of "This PC" found in File Explorer risks losing them forever if something happens to the computer you are using. These files are stored on the C-drive, which is the hard drive in the PC or laptop. To preserve important files, do not save them on the C-drive. Files can be saved to the M-drive or the U-drive, which are backed up securely, but the best choice is Microsoft’s OneDrive. Once OneDrive is set up in your PC and/or laptop Start menu, it will automatically sync files on your Desktop, in your Documents folder, and in your Pictures folder to your online OneDrive storage and you can easily retrieve them from any device once you are logged in to office.com 

Microsoft OneDrive: 

  • Each employee has access to OneDrive for secure online file storage through Microsoft365. 
  • Self-service sharing - share files with others however you see fit for collaborative editing or reviewing. 
  • File Explorer can be used to access files stored in OneDrive. 
  • Accessible from anywhere with an internet connection once an employee signs in to office.com 

Microsoft Teams: 

  • Employees can share files for collaborative editing in any Channel if they are a member of that Team. 
  • Everyone who is a member of that channel will also be the owner of a file uploaded to that channel. 
  • File Explorer can be used to access files shared in Teams by linking the files using OneDrive through office.com. 
  • Accessible from anywhere with an internet connection once an employee signs in to Microsoft Teams.
