Ugly Warts of Grading #2:  Where The Heck Are My Grade Rosters?

Too long ago to actually remember, we talked about late withdrawals, an ugly wart on the otherwise lovely process of grading. Without too much effort on my part I have discovered additional grading warts that we want to try to eradicate.

The first one is the “Let’s call the Registrar’s Office to see where our grade rosters are” wart. Calling R&R to ask where your grade roster is, is about as effective as trying to rid yourself of a giant wart by pouring water on it. Once the rosters leave our office we assume that they go where we sent them but have no idea where they actually end up. I’m trying to get GPS tracking on the darn things but so far have not gotten the funding. Here’s how the distribution process works:

The grade rosters will be distributed to your department secretary on May 10-11. All grade rosters for Damon courses will be sent by courier to Barbara Connelly’s office on May 10. It is important that you check with your department secretary to know where they distribute the rosters for your department. Different departments may have different distribution practices. If you haven’t received any daily attendance forms, attendance bubble sheets or other reports from the R&R Office, chances are you do not know where your department secretary puts your mail and will be in for a big surprise of backlogged paper when you track down your grade roster. Good luck!

Once the rosters leave R&R, we don’t know where they are and we are not able to recreate them. If you don’t receive a grade roster and have checked with your department secretary, you will need to use an alternate method for grade submission. If you are full time faculty you can use the 115 screen to submit your grades online. Anyone can submit their grades using a copy of their latest daily attendance roster which has a grade column on it. You may also use a copy of your 107 (class roster) screen. When using an alternate hardcopy method to submit grades please remember to sign and date the paper.

Allowing for the intramural mailing process and your department’s distribution process, everyone should have their hands on a grade roster about a week before the last day of classes.

Something to look forward to: This is the LAST time you will have to grade on a bubble sheet! Starting with the summer sessions, we will be grading in Banner and it is all online—no rosters to print or distribute or lose or turn in. We’ll feel like the Jetsons!
