Brown Bag Sessions October 16 and October 23: Electronic Calendaring is NOT about YOU . . . .


Outlook Calendaring is all about efficiency and easy access to your free and busy times in a given day!  Come to this two-part Brown Bag series on October 16 and 23, 2006 in room 11-109.  Noon sharp!  We will show you how truly quick and easy it is to set up your schedule electronically.  Whether it is a family member, a colleague, or a student in crisis, you owe it to those that need quick access to you to come find out about Outlook Calendaring!  If you are not using this feature of Outlook, you need to start!  You still may be thinking “why bother” . . .

At first one would think that setting up your daily schedule in Outlook is  all about keeping YOU in control of where you need to be and what time you need to be there.  One would argue that a paper planner or calendar can do the same thing, so why bother going electronic?  The main problem is that the up-to-date paper version of your daily schedule is only easily accessible by you!

Let us put aside for a moment the business efficiency that can be gained within your department by using Outlook Calendars.  Give some serious thought to this question: Could someone find me on campus quickly in an emergency?  A family member is in crisis and needs to reach you immediately.  Public Safety has just received a report that your car has been vandalized, or even worse stolen. 

No fair thinking cell phone here . . .many places on campus do not have great reception, and do you always have your cell phone on while your are teaching or in your office?  Perhaps you are thinking . . . my department secretary . . . it is an unfair burden to assume this one, very skilled individual can keep track of where you AND every other member of the department is at any given point in the day – remember your up-to-date paper schedule is with you!  It might take them hours to set up a log of everyone’s schedule, only to have that log become outdated very quickly.

In a matter of minutes you can post your schedule within Outlook Calendars and make every one’s life (not only yours) much easier.  The moment your schedule is within Outlook many opportunities exist because a person can easily reference where you are and the times you are free and the times you are unavailable within the calendar!


-          Quick posting of daily schedule and office hours for your office door – click Print and tape it on!

-          When getting a group together, save hours and hours of phone tag figuring out the best day and time across the group

-          By delegating view rights to your department secretary in one quick glance they can see where you are at any point in the day the quick, electronic way!
