College Key Protocol

As we enter the new year, Facilities would like to share a few reminders regarding the key process.

The College Key Protocol (PDF) reviews the key request process, key holder responsibilities, what to do if you have lost your keys, and where to find the Key Request Form.

The Key Request Form can be found on the Facilities Webpage and includes key control information, such as how to return keys upon the completion of your assignment and that keys are not issued for Downtown classrooms due to classrooms being unlocked each day.

Below are a few reminders regarding key holder responsibility:

  • Keys must be returned upon completion of an employee’s assignment (changing departments, retirement, etc.).
  • Facilities does not provide duplicate keys. (Please do not request extra keys to gain access to offices for those who forgot their key. Public Safety should be contacted to assist in these instances.)
  • When your key is ready for pick up you will receive an email from Key Control with instructions to set up your appointment for key pick up from the Custodial Operations Office in Building 3 (3-173).
  • Ensure that office moves are approved before requesting keys for the office.
  • For any lost keys, employees will need to contact Public Safety to file a report and then follow the instructions on the College Key Protocol document.

If you have any questions regarding the College Key Protocol, the Key Request Form, or the email you receive from Key Control please call the Facilities Office at (585) 292-2800.

Thank you.
