Who can utilize the Monroe Community College facilities?
The facilities are available for faculty, staff, students and community organizations.

What are the fees associated with renting the facilities?
The fees associated with an event vary depending upon the event details and location. Fees can be applied for facility use, Parking, Personnel, and additional resources.

What is the procedure for reserving the College's facilities?

  • Contact the Campus Events Office by phone or email to check on availability, obtain an initial quote for rental facilities or to set up an appointment to tour potential rental facilities
  • Pay the 25% non-refundable deposit of rental, which is due upon receipt of the invoice.
  • Submit Certificate of Liability Insurance to the Campus Events Office.
  • Pay the balance seven business days prior to your event.

How do I obtain a Certificate of Liability Insurance?
Contact your insurance company for the insurance binder. The binder is required to name (all four entities) Monroe County, Monroe Community College, Monroe Community College Association, Inc., and Monroe Community College Foundation as additionally insured entities in the amounts of $1 million with a $2 million aggregate.

Are we allowed to bring in food or use an outside caterer?
Sodexo is the official food service provider for MCC at each of its campuses and facilities. When considering food options for any event at MCC, Sodexo is your full service resource. Please visit Sodexo's website for catering information.

What technology is available?
If your presentation requires technical equipment, it may be provided. Our equipment services include:

  • Laptop or Computer connectivity
  • Large screen video / data projection
  • Professional audio systems
  • Podium command centers
  • Plasma TV displays
  • Digital Signage

Why can't I find an event on the MCC events calendar?
The list of events found via the MCC website is managed through the Community Relations office. These are items that internal departments have requested be put on the listing. If you are looking for a specific event, please call Campus Events at (585) 292-2010 between the hours of 8:45am and 4:45pm for assistance in finding the location. If it is outside of these hours please call the College at (585) 292-2000.

Do I have to pay for parking on evenings and weekends?
The Monroe Community College Parking program is 24 hours 7 days per week. This is a County of Monroe program that Monroe Community College manages.

Can I have signage at my event?
Yes, internal and external signage is allowed for events. For internal signage, please remove what is posted immediately following the event. Be sure to use blue painters tape to not ruin paint or leave sticky residue. For a fee, the service of putting up external signs on the blue roadway signage is available. There are ten of them around the perimeter roadway listing the name of the event, the location, and the parking lot designated for guests to park in. signs are removed and can be stored should the event repeat. Pre-approved external signage is allowed provided there is no damage to the property.

Who do I contact for emergencies or after 4:45pm when offices close?

  • To gain access to a meeting room or conference center room, you may sign out a key from the Campus Events office (Room 3-108) between the hours of 8:45am to 4:45pm (Weekdays Only).
  • To gain access to a classroom, lecture hall, or athletic facility weekdays after 4:45pm and on weekends, contact Public Safety at (585) 292-2911.
  • For assistance with the audiovisual technology in the room, dial (585) 292-AVAV (2828) and follow the prompts.

Can I move furniture and set up decorations how I want at the event?
MCC has to follow union guidelines and safety regulations. All set ups must be completed by MCC employees, and decorations and set ups must be approved by Safety personnel.

What is the procedure for reserving the College's facilities?

When do I need to submit a Campus Events Application?
An application is always required except when using a classroom, smart classroom, or meeting room and you do not have food, audio visual, set up needs or parking for external guests. The application should be submitted as soon as you have the dates for your event.

Who do I contact for Audio Visual Training?
Please call the audio visual hotline (585) 292-AVAV (2828) and follow the prompts.

Who do I contact for reserving laptops?
The Faculty Innovation Center will reserve laptops for you. They are located at Building 3, Room 153A.

Who do I contact for a wireless username / passcode?
You can obtain this information yourself. Log into myMCC and select the Employee profile. Click on the "Technology" tile, then the "Technology Links" tile. Click on the "Guest Account" link. Enter your network username and password in the pop-window. Change to Faculty / Staff Guest Account and type in the purpose of the event. Click "Submit Request" and copy the username and password. They are case sensitive.

Who do I contact for catering?
Sodexo is the official food service provider for MCC at each of its campuses and facilities. When considering food options for any event at MCC, Sodexo is your full service resource. Please visit Sodexo's website for catering information.

Who do I contact for approval to post internal signage advertising my event?
The MCC Association oversees signage on campus. Bring your flyers or advertisements to Building 3, Room 120, and follow their procedures.

Who do I contact when I just need a table and/or chairs?
The Campus Events Office would be able to assist you with a table and two chairs to fifty tables and two hundred chairs. Please contact us at (585) 292-2010 for availability.

How do I add my event to the Events Calendar?
Community Relations manages the Events calendar. Items are posted here through checking off the "Events Calendar" option for a Daily Tribune announcement.

Do I have to pay for parking for external guests?
The Monroe Community College Parking program is enforced 24 hours 7 days per week. This is a County of Monroe program that Monroe Community College manages. Please contact the Parking Department at (585) 292-2700 for specific pricing for your event.

How can I utilize the Conference Center phones?
Outbound long distance calling from the Campus Center Meeting Rooms: 3-115, 3-116, 3-117, 3-118, Monroe A/B, Empire and Forum is no longer available. Long distance calls can be initiated or received on a departmental phone and then transferred into the meeting room. If you would like additional information on this process, please contact Communications and Network Services (CNS) for conference call training or Campus Events for meeting room phone extensions. Local calls and 1-800 numbers are unaffected.

How can I request a sign language interpreter at my event?
If your event requires a sign language interpreter, please email Sorenson Communications (communityinterpreting@sorenson.com) or contact via phone at (800) 659-4783. If your event requires real-time captioning, please email Gary Romero from Caption Access (gary@captionaccess.com) or contact via phone at (847) 986-9330. It is the event planner’s responsibility to make arrangements when this service is needed.

Students

Do I have to submit paperwork for every event?
All events require the submission of an application from clubs and organizations.

Why do I need so many signatures?
Your signature on the application shows us that you read and addressed every section that you needed to. Your Advisor is required to sign verifying that they agree with the information that you filled out, is aware of your event, and will be at your event if supervision is required. A representative from the Office of Student Life and Leadership Development is required to sign your application verifying that they agree with the information that you filled out, they are aware of your event, and the approve the club having this event.

What is the importance of the AV set up time?
The AV set up time that you list is the time that an audiovisual technician will come to assist you with the technology. It is important to meet the AV technician there at the time you requested as they need to turn the equipment over to a person (i.e. - if you have requested a microphone) so that technology does not disappear. If you are not there during the scheduled time, they will wait for ten minutes. If you miss the technician, you are encouraged to call the AV hotline at (585) 292-AVAV (2828) to see if the technician is still available to assist you. Please note that they cannot guarantee service after this has happened. If the end time of your event changes it is important to make Campus Events, your Advisor, or the AV hotline aware of these changes and stay with the equipment until an AV technician is available to come pick it up.

How do I meet with someone to put space on hold?
Please contact Campus Events to meet with Yolanda Johnson during her virtual walk-in hours. You can also send Yolanda an email (yjohnson@monroecc.edu), or set up an appointment with her to put space on hold by calling (585) 292-2176.

Will there be a charge for me to have my event?
This is assessed when more details for your event are received. You might be charged direct costs if the club is profiting from the event. Please explain in detail for a more specific answer from the Campus Events Office.

What information should I have prepared when reserving space?

  • Event Name, including name of any speakers
  • Date and time of the event, including your setup and teardown times

  • If you plan on having food service, and what type of food (breakfast, buffet, etc.)
  • If the event open to the public
  • If there a special set up that you would like
  • If audiovisual equipment required

Am I responsible for cleaning up after my event?
Please ensure that the room is left tidy and clean after your event. Pick up any large debris. Do not leave paper trash or food behind.

Can I bring in my own refreshments?
All Food service requests need to go through the College's contracted food service company, Sodexo. For clubs and organizations, this process begins with obtaining a quote from Sodexo and continues with the Food Request Form in the Office of Student Life and Leadership Development. How can I request a sign language interpreter at my event?
